How to Make an ATS-Friendly Resume: A Practical Guide

Learn how to create an ATS-friendly resume with readable formatting, relevant keywords, clear sections, and evidence-based bullet points.

An applicant tracking system helps employers collect, organise, and search applications. Your goal is not to “beat” the software. It is to make your experience easy for both the system and the recruiter to understand.

Start with a clear, familiar structure

Use recognisable headings such as Summary, Experience, Education, Skills, and Projects. A recruiter should be able to find the evidence they need in seconds. A single-column layout is the safest choice when an employer gives no formatting guidance, although a well-built two-column template can also work when the underlying reading order remains logical.

Keep contact details as ordinary text near the top of the page. Avoid putting essential information only inside decorative graphics, icons, headers, or footers that some parsing tools may handle inconsistently.

  • Use a readable font and consistent heading hierarchy.
  • Keep dates and job titles in a predictable position.
  • Export to PDF unless the employer specifically requests DOCX.
  • Check that copied text keeps the correct reading order.

Match the job description honestly

Read the job description and identify the responsibilities, tools, and domain knowledge that matter most. Use the same standard terminology when it truthfully describes your background. For example, if a role asks for “customer lifecycle management” and that is work you have done, that phrase may be clearer than an internal company label.

Do not paste a block of hidden keywords or repeat terms unnaturally. Keyword stuffing makes a resume harder to read and can undermine credibility. The strongest keyword is one supported by an achievement, project, qualification, or skill elsewhere on the page.

Write evidence-based experience bullets

A useful bullet explains what you changed, how you did it, and what happened. Quantify the result when you have a reliable number, but do not invent one. Scope, frequency, turnaround time, quality improvements, and stakeholder impact can all provide useful evidence.

  • Weak: Responsible for monthly reports.
  • Stronger: Automated three monthly operations reports in Excel, reducing preparation time and giving regional managers a consistent view of overdue orders.
  • Weak: Worked on website performance.
  • Stronger: Reduced median page-load time by simplifying client-side bundles and introducing image optimisation across the main acquisition pages.

Use formatting that survives parsing

Avoid complex tables, text boxes, rating bars, and image-only skill charts for important information. Use real text, standard bullet characters, and common date formats. Keep each section visually distinct without relying on colour alone.

Before applying, open the PDF, select all text, and paste it into a plain-text editor. If names, dates, headings, and bullets appear in a sensible sequence, the document has passed a useful basic check. This does not reproduce every employer system, but it catches many avoidable formatting problems.

  • Section headings use familiar language.
  • Experience focuses on relevant actions and outcomes.
  • Important job-description terms appear only where accurate.

  • The file name is professional, such as Firstname-Lastname-Resume.pdf.
